Scope and Contents

These thirty-three volumes comprise a complete set of the financial accounts of official student activities and clubs for the years 1937/38 to 1968/69. Each volume consists of a set of twelve monthly financial statements for the student funds, bound in the front of the accounts ledger. The accounts ledger records in a chronological daybook fashion the receipts and expenditures of various student activities and organizations.

The monthly financial statements list assets such as checking and savings accounts, petty cash, and bonds; and liabilities, such as operating deficits, reserve funds for outstanding checks, and other expenses. They also list the income and expenses of the operating account, general cash receipts and disbursements, the balances of student organization accounts, and the expenses of student run enterprises.

The accounts ledgers are organized generally into four categories: Administration, Organizations, Enterprises, and Operating Accounts. The administrative accounts section deals with debits and credits in the checking and savings accounts, student loan notes, petty cash, surplus funds, reserve funds for outstanding checks and inactive or discontinued accounts, and witholding taxes. By far the largest section in the ledger is that for organizations. It records chronologically the receipts and expenditures of all funded student groups. Funded groups vary from residence halls to language clubs to the WAA-MU production sinking fund. This section expands greatly between 1938 and 1968, with the number of student groups more than doubling.

Student Enterprises are projects funded by Student Affairs in expectation of at least some receipts from them. They generally include operation of a candy machine, publishing the student directory, issuing senior announcements, and making Homecoming arrangements. One of the largest enterprizes was the ticket service, which supplied theatre tickets for both student and professional shows.

The operating accounts list the operating expenditures of the Student Affairs Office, including salary for the treasurer, office supplies, and telephone bills. The last pages of some of the ledgers are devoted to memoranda on outstanding accounts and miscellaneous receipts and expenditures.

One volume of this series contains only monthly reports from 1938 to 1942; these reports are bound separately under the title Monthly Reports instead of being included in the accounts ledgers for those years. Page headings and tabs differ from year to year, but each volume records virtually the same information in the same order.
