Scope and Contents

This collection is comprised of five boxes and 10.7 gigabytes of records for Northwestern University’s Shepard Residential College (South Mid Quads). The records span the years between 1967 to 2022, with the bulk of the material dating between 1972-1975, 1991-1992, and 2014-2022. The collection includes three series based on these bulk dates.

Series 1: Early Records (1967-1984) consists of three boxes which include Shepard’s constitution and its revisions, college committee minutes, financial ledgers and reports, and student and faculty lists. It also includes correspondence and memoranda which provide a description of social events, academic programs, and student life at Shepard College.

Series 2: Addition of Paper Records (1991-2012) consists of one standard and one oversize box and includes six sub-series categorized by subject and individual items such as a scrapbook photograph album and yearbooks from 1999-2012. The sub-series are Finance (1991-1992), Students (1991-1993), Newsletters (1991), Social Events (1990-1992), Faculty Associate Records (1991-1992), and Administrative Records (1991-1993).

Series 3: Born-Digital Records (2012-2023) includes 10.7 gigabytes of files arranged into sixteen sub-series: Academic Programs (2014-2022), Correspondence (2015-2022), Facilities (2016-2022), General (2016-2022), College Staff and Fellows (2014-2022), Constitution (2014-2021), Executive Board (2014-2022), Finance (2014-2019), Forms and Surveys (2017-2021), Logos and Branding (2015-2022), Newsletters (2019-2022), Social Events (2015-2022), Student Directories and Lists (2015-2022), Student Housing (2014-2022), Wildcat Welcome (2014-2022), and Web Archives (2012-2023). Content in this series includes photos and videos of the buildings, events, residents, faculty, and fellows of Shepard Residential College. The born-digital series includes promotional and branding material, newsletters, a website, and further revisions of the Constitution.

This collection is stored off-site and requires two business days advance notice for retrieval. Box 2, Folders 2-5, and 13-15 may contain sensitive materials; consultation with University Archivist is required prior to use.

Shepard Residential College (South Mid Quads) is one of Northwestern University’s facilities in the Residential Colleges program. The Records of Shepard Residential College span 1967 to 2023 and fill five boxes including 10.7 gigabytes of born-digital files. The bulk dates of records include 1972-1975, 1991-1992, and 2014-2023. The collection includes Shepard’s administrative, events, and student life records.

Arrangement Note

The collection is arranged into three series chronologically. Within each series, materials are arranged first by content and then in chronological order. Series 2 includes six sub-series categorized and Series 3 includes fifteen sub-series. Original file names in the Born-Digital Records series have been changed to maintain consistency throughout the file directory.

Physical Characteristics and Technical Requirements

Available born-digital materials in this collection are delivered to researchers in born-digital formats. Requests for different access methods, such as those not using computers or with the aid of assistive technologies, must be made in advance of a research appointment to Library staff.

Custodial History

Born-digital material was transferred via Google Drive to NUL’s managed storage on January 5, 2022. Files downloaded from Google Drive as proprietary Google formats (e.g., Google Doc, Google Presentation, etc.) are automatically downloaded as other, ubiquitous file formats. Therefore, not all file format conversions were conducted by NUL staff. The downloaded files were assessed forensically for duplicates and identifying file formats. The files were packaged with documentation and metadata and moved to permanent storage. A website was crawled and preserved using the subscription service, Archive-It.

Immediate Source of Acquisition

Shepard Residential College staff transferred records to the Archives on November 5, 1982 (accession # 82-152) and November 23, 1993 (accession #93-189). Born-digital files and the scrapbook photograph album and yearbooks (1999-2012) were donated through recurring annual deposits by student members of Shepard’s Residential College Executive Board (accessions: #2020-27, #2021-195, #2022-163, #2023-22).

File Plan

Prior to archival arrangement, born-digital materials transferred from Google Drive were donated in three annual accessions, each with unique folder names and arrangement schemes.
